Euran Vuokrakodit - Privacy Notice

This privacy notice applies to the maintenance of the tenant register of Euran Vuokrakodit Oy and to the communications made by Euran Vuokrakodit Oy to residents and important stakeholders. The data is stored in the Tampuuri property management system and the Emaileri newsletter service.

This privacy notice may be updated from time to time without prior notice. Any changes will take effect immediately. The user has the right to reject the updated privacy notice by removing himself from the communication contact list. It is not possible to leave the tenant register while a person is living in an apartment of Euran Vuokrakodit. The updated privacy policy can be found on the euranvuokrakodit.fi website.

3. Legal basis for processing personal data

Data collection is primarily based on the data subject’s consent. Regarding the tenants of Euran Vuokrakodit, Euran Vuokrakodit Oy also has an obligation to collect and store information related to housing, e.g. the tenant register.

When processing users’ personal data, Euran Vuokrakodit Oy complies with the EU General Data Protection Regulation (GDPR), national legislation and good data processing practices. When processing personal data, the controller follows the principle of data minimization, according to which the data is only used to the extent necessary and only for the purpose for which it was collected.

 

4. Purpose of personal data processing

Personal data is processed for the following purposes:

  • Maintenance of the register of tenants
  • Maintaining the register of tenants
  • Invoicing
  • Sending newsletters by email, either on general housing issues or on housing association-specific crisis messages.
  • Sending text messages on issues requiring rapid response, such as housing association-specific crisis messages

5. Data content of the register

The following information about the persons in the register is stored in the property management system Tampuuri. 

  • First name and family name
  • Date of birth
  • Email address
  • Telephone number
  • Address details
  • Occupancy of the apartment
  • Key holding
  • Car park holding
  • Information of current account ledger
  • Billing and collection records
  • Tenancy documents

The following information about registered persons is stored in the newsletter service Emaileri.

  • First name and family name
  • Email address
  • Telephone number
  • Address details
  • The name of the housing association
  • Role (e.g. tenant or property management partner)

6. Regular sources of information

As a rule, personal data concerning the registrant is collected from the registrant himself. Residents of Euran Vuokrakodit Oy provide their name and contact information when applying for an apartment or later through various channels (e-mail, phone, personal visit, online form).

In addition, information is accumulated during the period of residence (administrative information, documents). The collection agency Intrum is the source of collection data.

 

7. Regular transfers of information

Personal information remains between Euran Vuokrakodit Oy and partner organizations confirmed by agreements (e.g. communication partners), and is not disclosed to third parties.

The information can be used to analyze and report user activities in a form that does not identify individual users. 

 

8. Data transfer outside the EU and EEA

Personal data will not be transferred outside the European Union or the European Economic Area.

 

9. Principles of registry protection

The resident register is maintained in the Finnish Tampuuri property management system (Visma), which is responsible for data protection.

The communication register is maintained in the Finnish Emaileri newsletter service, which is responsible for data protection.

The information in the registers is stored in information systems with limited access rights, whose access rights are based on user IDs/passwords. User IDs are only issued to persons who need access to the system in accordance with their job duties.

 

10. Right to inspect and request corrections

Everyone has the right to know what information about him or her is stored in a personal register, or that there is no information about him or her in the register. 

They have the right to request the inspection, correction and deletion of their data (see section 11 for instructions on deletion). The controller must, without undue delay, on their own initiative or at the request of the data subject, correct, erase or complete personal data contained in the register which are inaccurate, unnecessary, incomplete or out of date for the purposes of processing.

If you wish to check your data, please contact the Data controller. It is Eura’s Vuokrakodit Oy’s obligation to verify the identity of the person before disclosing the data. The request must be made either in a hand-signed or similarly authenticated document or in person at the office.

 

11. Retention period and deletion of personal data

The person’s data will be stored as long as he or she is a tenant in the Euran Vuokrakodit Oy apartment or a member of the Euran Vuokrakodit Oy stakeholder group.

The personal data is kept in Tampuuri in accordance with the requirements of the Bookkeeping Act for at least 5 years even after the tenant has moved out. 

The personal data is stored in the Emaileri newsletter service for a maximum of 6 months after the person no longer has the above-mentioned ties with Euran Vuokrakodit Oy.

The person can opt-out of receiving newsletters or SMS messages via the ‘unsubscribe’ or ‘unsubscribe sms’ links in the messages. However, this does not remove the data from the Emaileri service.

An individual can request the deletion of all his/her personal data from the Emaileri service by contacting the Data controller. It is Eura’s Vuokrakodit Oy’s obligation to verify the identity of the person before disclosing the data. The request must be made either in a hand-signed or similarly authenticated document or in person at the office.
